Kitchen / Special Events Ministry Team
Purpose (Scope of Ministry): To host church-wide functions, such as church suppers and other ministry functions.
Basic Objectives:
- It shall be the duty of this committee to establish and administer general policies concerning the operation of the kitchen and fellowship areas.
- It shall be their duty to plan and supervise all church receptions, anniversaries, and other significant occasions in the life of our church.
- It shall supervise and direct the planning, preparation, and serving of family night suppers, special dinners and any other meals authorized by the church.
- It shall inspect and see that the kitchen and facilities are kept clean at all times.
- The committee shall prepare and submit to the Finance Committee each year the budget items necessary to accomplish these activities.
Ministry Team Composition Requirements:
- Church Membership: Yes (Chairman), No (Team Members)
- Chairman: Selected by nominating committee and elected by church body
- Length of service: 1 year term
- Main Staff Contact: Pastor for Discipleship & Administration
General Responsibilities:
- Committee Chair
- Establish a list of contact numbers for all members of committee who will assist in all aspects of responsibilities
- Pass information on to committee members regarding event dates, individual expectations and/or food quantities needed
- Oversee the inventory and stock levels of paper products, food and beverage items and kitchen supplies and equipment
- Plan menus for all church suppers
- Communicate with church staff regarding planned menu, expected attendance, specific set-up needs, reimbursements and/or submitting funds collected
- Maintain keys for kitchen, pantries and ice machine. (All provided by SMRBC)
- Oversee use of Kitchen Committee budget - Make annual budget recommendations to the finance committee and manage expenses against approved budget
- Oversee all Kitchen/Special Events Ministry responsibilities as listed below
- Committee Responsibilities
- Plan, organize and prepare monthly church suppers (Note: Suppers normally fall on the last Wednesday of each month. September through May, unless otherwise deemed necessary by church staff.)
- No later than one week prior to church supper, determine menu
- No later than Thursday prior to church supper, contact office with planned menu (including kid's menu and/or alternate menu, if one will be available). Church office staff will include this in Sunday's bulletin.
- Contact church office after 2 PM the Monday prior to any church supper, requesting total number of individuals who have signed up for each type of meal being offered
- Inventory stock levels in Kitchen Pantry to determine what will need to be purchased for supper. (Note: Pantry is shared with Children's Council and Student Council. Only items belonging to Kitchen Committee should be counted.)
- Submit a SMRBC Petty Cash Request form to purchase items, if needed (Alternately, expenditures can be reimbursed using an SMRBC Payment Request Form.)
- Shop for all items needed for event (Note: Committee Chair will be provided with membership, tax exempt card and credit card for Sam's Club and Wal-Mart. Any additional purchases must be discussed with church staff and will be funded through Petty Cash or Payment Request, as described above.)
- Notify church office of any special needs regarding set-up for suppers (Church staff will set up tables and chairs in the Fellowship Hall.)
- Prepare meal (Note: limited kitchen access before 2 PM on weekdays due to CDC.)
- Serve meal through Kitchen Window beginning at 5:45 PM
- One committee member must collect payment from those who attend the supper and mark off those who attend. Envelope must be returned to church secretary at the end of the evening.
- Clean up the Kitchen, Pantry, Fellowship Hall and any other areas used, following the list posted on the Kitchen door
- Complete any payment requests forms and submit (with receipts) to church Financial Secretary
- Refrain from offering any Kitchen Committee items to other ministries, without permission from the Kitchen Committee Chairman
- Other Events
- Throughout the year, the Kitchen Committee may also be contacted to assist with special events (i.e. Watermelon Social, Ice Cream Social, etc.), other ministries (i.e. Choir receptions, Fall Festival, VBS, etc.) and/or receptions following a funeral or other event at SMRBC. Committee chair will work with ministerial staff to determine the Kitchen Committee’s role in any of these.
Measurements of Effectiveness:
- Suppers are served on time.
- Kitchen, pantries and freezers are kept orderly and clean.
- An adequate number of committee members are present to cook, serve and cleanup after events.
- Budget is kept.
